Hazardous materials (both SEA and AIR), lithium batteries (AIR), etc. cannot be sent. Please make sure to read this.

(1) Sorting

First, determine which parcels you will ship abroad and which will remain in Japan.


Parcel sorting points

Consider the following points when sorting parcels.

  • Company restrictions (If there are rules such as the number of parcels allowed or budgets etc. at your workplace)
  • Items that cannot be sent abroad
  • Items that incur taxes related to importing (customs duties and internal excise taxes)
  • Items that cannot be stored in a storage warehouse
  • Your overseas living conditions (if furniture if furnished or not, etc.)
  • Items to be shipped abroad

Carry-on items: personal belongings you use daily and valuables
AIR shipment: Items you want to use right up to departure, and as soon as you arrive at your destination
SEA shipment: Items other than carry-on items and air shipment (furniture, electrical appliance, tableware, etc.)

Items you will leave in Japan

  • Items you will leave at home, items transported domestically, and items stored in a storage (warehouse facility)
  • Items to be disposed of

The first step in relocation is said to start from disposing of unneeded items. We recommend using your relocation as a chance to organize your parcels, give some to people, and dispose of others.

Organize sorted parcels in an easy-to-understand method by the pick-up day.

You are responsible for arranging for the disposal of unnecessary household items.

Applying for survey, and what is covered

  • When going overseas, it is important to sort parcels in consideration of your lifestyle, the necessity of the items, the budget, etc.
    We will estimate the number of parcels for Sea shipment, Sir shipment, leaving behind in Japan, etc.
  • This should take about 1.5 to 2 hours. This purpose of this is to enable us to check the parcel amount, road conditions, etc. and provide relocation options that meet your circumstances.
  • If you are able to accurately judge the parcel amount on your own, or if the parcel count is low (about a few cardboard boxes), we may cut the survey step.
    Also, if our survey schedule is full, it may be difficult to provide service on your preferred day, so please contact us to make an survey plan as soon as possible.
  • Based on the results of your survey, we will contact you concerning the following information.

    ・An estimate corresponding to your needs
    ・Consultation about a relocation schedule corresponding to your departure day and parcel content
    ・Confirmation of the shipping method and shipping schedule that corresponds to your preferred timing for parcel delivery at your destination

(3) Preparing required documents

You prepare the required documents and information.

Documents and information required for customs procedures

If you have ever gone on an overseas vacation, you have most likely experienced immigration and emigration procedures and customs procedures. Your overseas relocation parcels will also be required to pass through customs procedures in a similar way. We will handle declarations to customs, but we will need the following documents and information to complete that procedure.

A.Passport copy

The front inside cover page: The page with your photograph, signature, and passport number.

Copy clearly (lightly) with just enough darkness to be able to identify your face photograph.

B.Flight information

When you confirm your flight, send us a copy of your airline ticket or e-ticket. You may be able to substitute this with the certificate of posting issued at your workplace or the itinerary issued by the travel agency. For details, ask your sales representative.

C.Your foreign contact information

Report the address and contact information for your workplace or your residence.

D.Overseas removal agreement &HEART LINER INSURANCE (Marine Insurance for Ocean Cargo) Insurance Application

This refers to the shipping contract between us and you and a document confirming that your items are covered by marine insurance for outbound cargo. We will ship your luggage based on this contract, so make sure it has no mistakes. It also serves as an export customs clearance authorization letter.

E.Packing list

All you have to do is write the declared values. We will use that to create a packing list, and submit it to customs.

Submit A-D above to your sales representative in advance.

We will complete the packing list in E on the parcel pick-up day.

(4) Parcel sorting

Before parcel packing, prepare for packing with the following in mind. Thorough parcel sorting is a key point for smooth relocation.



Check the customs clearance circumstances at your destination

Even for household goods/personal effects, depending on the law, taxes related to importing (customs duties and internal excise taxes) may arise. There may also be items that are not allowed to be imported and documents you will be required to prepare. Your sales representative will give you information about the most recent customs clearance situation, so make sure to check on this in advance.

Your residence

If your residence will be an apartment with a manager, etc., please discuss the moving day, permission to use elevators, securing parking spaces, unlocking the auto-lock, etc. with the manager in advance. If submission of a work notification is required, inform your sales representative.

Your parcels

Sort the parcels you intend to take with you. Have any items you intend to purchase ready the day before parcel pick-up. In particular, important items and highly-valuable items require special packing, so please mark them. We will send you stickers to differentiate between sea and air shipments. Please use them.

(5) Creating a packing list

Packing: The work staff will pack your items on the moving day.
Creating a packing list: Our staff will create the list. You will write the monetary amounts for items on the list.

Afterwards, we will carry the packed parcels to our warehouse, stacked for prepareing for outer packaging, and finish the exterior packaging.

Before packing

The pick-up day will be a very hectic day, but we request that you keep the following in mind. Also, please be aware that recording a packing list is required for parcel exporting and importing customs clearance and insurance coverage.

Together with the moving team leader, check the parcels that need to be picked-up on the moving day. In particular, indicate important items and highly-valuable items in advance. If you packed any parcels yourself, the moving team leader will check them, so please indicate them.
Make sure valuables do not get into parcels. We recommend putting them in rooms that the work staff does not enter, or wearing them on yourself.

(6) Bill calculation and payment

After the parcel amount is confirmed, we will contact you about the bill calculation. After we confirm your payment, we will arrange delivery.

After payment, we will deliver the parcels as quickly as possible. If there are any specifications or restrictions about delivery reception dates at the residence abroad, make sure to report that to us in advance.


Afterwards, we will generate the documents required for customs procedures and pass the parcels through export customs clearance.

Payment methods

We will notify you of the final billed amount when the parcel amount and insurance fee is determined, which will be some time after the day subsequent to the pick-up day. If foreign customs duties or any other additional fees based on the estimate terms arise outside of Japan, please be aware in advance that the foreign NX Group subsidiary or representative branch will send you an additional bill at a later date.

We accept payments by credit card or bank transfer.

We also accept Kessai Navi payments.

Money transfer confirmation

For both sea and aire service, parcel delivery begins after confirmation of payment. For payments made by a money transfer from a bank, confirming the payment may take time, so please tell us the date and time of money transfer, name of the bank from which the transfer is issued, etc.

(7) Overseas contact

The NX Group's local branch or agent will contact you at the address you filled out in the Overseas removal agreement. They will give you information about the documents required for import customs clearance for that country and discuss the parcel delivery day.

(8) Overseas delivery


Preparation before the parcel delivery day

  • Your residence
    If your residence will be an apartment with a manager, etc., please discuss the moving day, permission to use elevators, securing parking spaces, unlocking the auto-lock, etc. with the manager in advance.
  • Your parcels
    Decide in advance what parcel numbers will go in which rooms, based on the packing list.

the day of delivery

  • A moving representative will read off the cardboard box numbers, so instruct what rooms they go into.
  • For cardboard boxes, our service extends to taking them into their individual rooms. For furniture, electrical appliances, etc., our service extends to unpacking the items that we originally disassembled and packed, and readying them for use.
    For air shipment, our service extends to handing them over at the front door.
  • After the process is over, check together with the moving team leader to make sure there are no missing numbers, etc.
