Points to consider when applying

This is a plan in which you conduct all steps from fill in the packiing list to packing boxes yourself, and we ship up to 15 cardboard boxes by sea only.

Documents based on Japanese law and the laws and regulations of your destination are required. You will need documents to clear customs as moving baggage, though Nippon Express will take care of the customs clearance procedure.

There are items which are prohibited or regulated from being taken outside of Japan and items that are prohibited or regulated from being imported into your destination. Additionally, depending on the item, taxes related to importing (customs duties and internal excise taxes) and customs inspection processing fees may be incurred.

Make sure to pack parcels well. Parcels will be shipped over long distances on ships, trucks, railway, etc. During shipping, your parcels may be exposed to vibrations, shock, major changes in temperature and humidity due to weather and climate, and even possibly the risk of theft. Thus, in consideration of the safety of your parcels, optimal packing is a necessity.

Insuring your parcels is important. We recommend choosing an insured amount that will enable you to re-procure your important parcels in order to minimize losses in the case of an accident.。

Check the customs clearance circumstances at your destination (items you cannot bring into the country)

Even when items are simply parcels involved in personal moving, depending on the law, taxes related to importing (customs duties and internal excise taxes) may arise. There may also be items that are not allowed to be imported.

Items restricted by region

There are items that are prohibited or restricted by the laws and customs of your destination (country) and region. Also, some countries require declaration documents for customs clearance and quarantines. A sales representative will provide the latest local customs clearance information and documents to customers who have officially applied.

(2) Packing material delivery

We deliver packing materials (cardboard boxes) to your residence.

Details on dedicated cardboard boxes for overseas relocation

For the Self-pack Service option, we send you dedicated cardboard boxes for overseas relocation and packing materials (tape, etc.). When you contact a sales representative to request materials, we will send them to you in about 3 business days.

Cardboard box delivery is included in the price. However, if you cancel your service application after we have delivered the cardboard boxes, we will request payment of a cardboard box fee and a cardboard box delivery fee. If you do not need cardboard boxes and want us to take them back, we will request a separate return postage payment.

(3) Preparing required documents

You prepare the required documents and information.

Documents and information required for customs procedures

If you have ever gone on an overseas vacation, you have most likely experienced immigration and emigration procedures and customs procedures. Your overseas relocation parcels will also be required to pass through customs procedures in a similar way. We will handle declarations to customs, but we will need the following documents and information to complete that procedure.

A.Passport copy

The front inside cover page: The page with your photograph, signature, and passport number.

Copy clearly (lightly) with just enough darkness to be able to identify your face photograph.

B.Flight information

When you confirm your flight, send us a copy of your airline ticket or e-ticket. You may be able to substitute this with the certificate of posting issued at your workplace or the itinerary issued by the travel agency. For details, ask your sales representative.

C.Your foreign contact information

Report the address and contact information for your workplace or your residence.

D.Overseas removal agreement &HEART LINER INSURANCE (Marine Insurance for Ocean Cargo) Insurance Application

This refers to the shipping contract between us and you and a document confirming that your items are covered by marine insurance for outbound cargo. We will ship your parcels based on this contract, so make sure it has no mistakes. It also serves as an export customs clearance authorization letter.

How to put together a cardboard box / How to label a box

In the Self-Pack service, there is a limit on the size and weight of 1 parcel.
We cannot accept cardboard boxes and parcels for which the total of all three dimensions exceeds 170cm, so please be careful about the size.
The Small, Medium, and Large dedicated cardboard boxes for overseas relocation that we provide fit these regulations.
Also, the weight limit for 1 parcel is 25kg.

We cannot accept golf bags.

How to make a cardboard box

Writing the box label

Label filled cardboard boxes in the following way.

In an easy-to-see location on the outside of the cardboard box, write the following box label in bold lettering.
Example: MR. TARO NIPPON - Write your name in English as it appears on your passport.
NEW YORK - Write the destination in English.
C/NO. 1 - Write consecutive box numbers starting at 1

How to pack

  • Pack heavy items into small cardboard boxes and light items into large cardboard boxes.
  • Put items that can act as cushions in the bottom and top of the cardboard boxes.
  • For breakable items, completely cover each individual item in bubble wrap and newspapers.
  • Place flat items like plates in vertically so they are standing up.
  • Pack the cardboard boxes fully so no gaps occur inside.
  • Pack books in tightly, facing as if they were on a bookshelf.
  • Make your packing list as you pack.

Cautionary points

Occasionally, some people accidentally pack passports or airline tickets in their parcels. Please be careful not to do this.

Documents and information required for customs procedures

(5) Pick-up

Staff we have arranged will come pick up the parcels.

Parcel pick-up

We will pick up the cardboard boxes you have packed. Before the pick-up staff we have arranged arrive at your residence, complete the preparation steps of writing labels on the cardboard boxes that you packed with parcels, and sealing up the boxes.

If you cancel an application after applying for a pick-up, we will request a separate cancellation fee payment.

Send the packing list you have created to our sales representative, just as you did with other documents.

(6) Bill calculation and payment

After parcel pick-up, we will inform you of the price and payment method. After we have confirmed that your payment has been received, we will arrange delivery.

Payment methods

Sometime after the business day subsequent to the parcel pick-up, we will notify you of the insurance fee corresponding to your parcel insured amount and the fee payment method (bank transfer/credit card payment). If foreign customs duties or any other additional fees based on the estimate terms arise, please be aware in advance that the foreign NX Group subsidiary or representative branch will send you an additional bill at a later date.

We accept payments by credit card or bank transfer.

We also accept Kessai Navi payments.

Money transfer confirmation

Delivery arrangements start after we have confirmed that your payment has been received. For payments made by a money transfer from a bank, confirming the payment may take time, so please tell us the date and time of money transfer, name of the bank from which the transfer is issued, etc.

(7) Overseas contact

One of our staff members will contact you to give you information on importing customs clearance procedures and discuss the parcel delivery day.


Information we give you after the parcel has arrived at the destination country

The NX Group's local branch will contact you at the address you filled out in the Overseas removal agreement. They will give you information about the documents required for import customs clearance for that country and discuss the parcel delivery day.

(8) Overseas delivery

We will deliver your parcels on the day you specify.

Date, time, and method of handing over parcels

We will discuss your delivery date preferences in advance and deliver your parcels on the day you specify. As a general rule, we hand over parcels at the front doorway. If any taxes related to importing (customs duties, internal excise taxes, etc.), customs inspection fees, etc. arise during importing customs clearance into the destination country, we may request payment of those fees at the time of parcel delivery.
